Schedule the next appointment without leaving the patient's profile

When you're reviewing a patient's profile, the next step is often obvious: schedule a consultation, a check-up, or a follow-up.

Until now, that small change of context could have felt bigger than it needed to.

You would open the calendar. You would look for the schedule. You would think about the patient's details again. You would check if you had their email. You would confirm the appointment title. And, if you used Google Calendar, you also had to make sure everything was synced.

Now in Ithaca you can do it more directly: schedule a medical appointment from the patient profile.

The new option appears in the menu. Appointments on the patient's page. From there, you can create an appointment linked to that patient, with their pre-filled information and ready to sync with your calendar.

A more natural way to schedule follow-ups

Most appointments are not made “from the agenda.”.

They are born during care.

🩺 After reviewing a result.
🩺 After finishing a clinical note.
🩺 After seeing that a patient needs a follow-up in two weeks.
🩺 After confirming that an evolution review, treatment adjustment, or completion of studies is necessary.

That's why it makes sense that the scheduling action is available right where you're working: in the patient's profile.

What can you do from “Appointments”?”

From the patient's profile, the menu Appointments Gather actions related to care coordination.

Can you:

📅 Schedule an appointment for that patient.
📝 Send a questionnaire when you need to gather information before the consultation.
Keep the flow connected with the patient's record and data.

The idea is simple: if you're on a patient's profile, actions related to their upcoming care should be right there.

How does the planner work with Google Calendar

To create and sync appointments, Itaca uses integration with Google Calendar.

If you already have your calendar connected, by clicking on Appointments > Schedule Appointment, the form to create the appointment will open.

From there you can define:

Quote Title
Date
⏰ Start time
Duration
👥 guests
Assigned healthcare professionals
Location
🎥 Google Meet, if applicable
Internal notes from the appointment

The patient is linked to the appointment, and if they have registered email, they can be added as a guest.

What if you haven't connected Google Calendar yet?

Not all users are aware of the Google Calendar integration from day one.

That's why, if you try to schedule an appointment from the patient's profile and you still don't have the calendar connected or synchronized, Itaca will take you to the tab Calendar inside Profile.

From there, you can connect your Google Calendar and set up the integration.

This improves the visibility of the feature: even if you don't have a calendar connected yet, the option Schedule appointment it appears in the patient's natural flow and guides you to the correct place to activate it.

Fewer steps, fewer errors.

Scheduling from the patient profile reduces friction at several points in the workflow.

You don't have to remember the patient's exact name to search for them in another form.
You don't have to copy data between screens.
You don't have to create a generic quote and then try to mentally associate it with the file.
You don't have to figure out the calendar integration separately.

How to schedule an appointment from the patient's profile

The flow is direct:

  1. Open the patient's profile.
  2. Click Appointments.
  3. Select Schedule appointment.
  4. If your calendar is already connected, complete the appointment details.
  5. If you are not yet logged in, Itaca will take you to Profile > Calendar to configure it.
  6. Look at the quote.

Once created, the appointment will be in your calendar and linked to the patient.

A medical appointment more connected to care

The goal isn't just to create events faster.

It's making the medical agenda part of the actual clinical workflow.

Because for a doctor or clinic, an appointment isn't just a block on a calendar. It's part of patient follow-up, their history, their documents, their questionnaires, and continuity of care.
