01 · UNDERSTANDING ITACA
What is Itaca and who is it designed for
What is Itaca?
Itaca is an AI clinical assistant for healthcare professionals and teams. It helps document consultations, organize clinical information, prepare care-related documents, and consult evidence. The professional reviews the results and retains responsibility for clinical decisions.
Who is it designed for?
It is designed for physicians and other healthcare professionals working individually, as well as for clinics and teams that need to reduce documentation burden, keep clinical information organized, and work with more consistent processes. The specific utility depends on the specialty, the type of consultation, and each organization's workflow.
How does it differ from ChatGPT or a general-purpose AI?
Itaca is geared toward clinical work: it structures documentation, preserves patient-related context, and offers medical reference query tools. It also incorporates controls and data treatment conditions designed for clinical information. A general-purpose AI should not be assumed to be equivalent for these workflows or for the handling of sensitive data.
Does Itaca replace the doctor or make decisions for them?
No. Itaca can organize information and support documentation, evidence consultation, and reasoning about a case. Diagnosis, treatment, the ordering of studies, and the approval of notes and documents remain in the hands of the professional.
Are all functions available in any plan and workflow?
Not necessarily. Availability may depend on the plan, account type, organization settings, and workflow used. The page of prices and the Itaca team must confirm the current conditions for your case.
02 · CLINICAL DOCUMENTATION
How it works around a query
Before
Gather background information, documents, and patient responses when the workflow allows.
During
Continue normal service while Itaca processes the conversation and prepares documentation.
After
Revise the draft, make any necessary corrections, and approve the corresponding version.
What does Itaca do during a consultation?
When the professional starts a session, Itaca processes the conversation and prepares a structured draft in the background. Upon finishing, the professional can review, correct, and approve it before incorporating it into the corresponding file.
Can I use existing audio, video calls, or documents?
Itaca supports different entry points depending on the available flow, including query conversations, audio files, video calls, documents, and quick notes. Consult the ways to create clinical notes and confirm the availability for your account.
Can you prepare SOAP notes or formats for my specialty?
Itaca can structure notes in formats such as SOAP and work with formats adapted to different types of consultation. A clinic can also define shared templates when the contracted workflow includes them. The professional must verify that the structure and content are appropriate for their practice.
Can you help with recipes, orders, certificates, or other documents?
It can help prepare consultation-related documents—such as prescriptions, orders, certificates, summaries, or forms—when that feature is available in the workflow used. They are generated as material for professional review, not as final, standalone documents.
Does the note automatically become part of the case file?
It must not be assumed. Itaca prepares a draft for review. Signature, approval, export, and incorporation into the record depend on the configured workflow, the clinical system used, and the organization's obligations.
What happens if the draft contains an error or omits information?
The professional must correct it before approving it. Quality may vary due to audio, available context, terminology, or the complexity of the query. Itaca helps reduce documentation workload, but clinical review is not optional.
Do I have to replace my current medical record?
Not necessarily. Itaca can support the creation and organization of documentation around the system you already use. The way to transfer, export, or integrate the information depends on the configuration and available integrations; it is best to confirm this before adopting the workflow.
03 · CLINICAL ASSISTANCE
Questions, research and case analysis
Does Itaca answer clinical questions with sources?
Yes. Itaca can provide concise medical answers with references and transparency regarding the sources used. It is an aid for reviewing information and evidence; the professional must assess the currency, relevance, and applicability to the specific patient. See How clinical AI responses with sources work.
What is Deep Research?
Deep Research is designed for questions that require investigating multiple medical sources and organizing a more extensive response. It can help with guideline review, literature, complex questions, academic preparation, and differential diagnosis analysis. It does not turn a bibliographic synthesis into an automatic clinical decision.
Can you analyze a clinical case or help with a differential diagnosis?
It can organize case data, point out hypotheses to consider, and support the review of diagnostic or therapeutic alternatives. The result serves as support for reasoning. It does not replace the anamnesis, examination, necessary studies, or the professional's judgment.
Does it maintain context between different queries?
Itaca can retain clinical information across encounters so that the healthcare professional can consult history and previous notes. The usefulness of the longitudinal context depends on the information available and reviewed; it should not be assumed to perfectly reconcile all data.
Can the patient provide information before the consultation?
When workflow permits, pre-questionnaires help collect the reason for visit, background, or other data prior to the encounter. This allows starting with more organized information, which the professional must verify during the care.
You can explore these flows in Clinical functions of Itaca.
04 · CLINICS AND EQUIPMENT
How an organization's work changes
Does Itaca work for clinics and medical teams?
Yes. It can support the documentation of multiple professionals, maintain longitudinal context, use shared formats, and coordinate tasks around the patient. The specific configuration depends on the needs, permissions, and agreed workflow with each organization.
What changes operationally by adopting Itaca?
The query can produce a more structured draft from the start, instead of leaving all the writing for later. The team can work with common rules and formats, while each professional retains the review of their documentation. The value is not in adding “AI users,” but in reducing manual steps and unnecessary variation.
Can administrators manage access and activity?
Administrators can have visibility into team usage, access, and activity. Permissions and responsibilities must be configured according to each person's role and the organization's internal policies.
Can a clinic use its own formats?
Itaca can work with shared templates and convert an example of an existing form into a reusable template, when the contracted workflow allows for it. The clinic must review and approve the structure before using it generally.
How is it implemented with multiple professionals or locations?
The implementation must first define the query types, formats, permissions, review managers, and destination of the documentation. It is preferable to validate a specific workflow with an initial group before expanding it. For organizations, consult Itaca for clinics and teams.
05 · PRIVACY AND SECURITY
What happens to the clinical data
Whose clinical data is it?
Clinical data belongs to the user and their organization. Itaca does not sell it or provide it to third parties for commercial purposes.
Are patient data used to train models?
No. Patient data processed through Itaca is not used to train models.
How does Itaca protect information?
Itaca encrypts data in transit and at rest and uses relevant vendors under BAA agreements. Security also depends on how an organization manages users, devices, permissions, retention, and access; no platform completely eliminates risk.
Does Itaca follow HIPAA requirements?
Itaca complies with the HIPAA requirements applicable to its operation and uses relevant vendors under BAA agreements. This does not replace local obligations or the policies of each clinic. An organization must evaluate the intended use, its contracts, and its own regulatory framework.
Should I inform the patient or request their consent?
Requirements depend on the country, the type of care, the capture method, and the institution's policies. The professional must apply the corresponding rules for recording, data processing, and clinical documentation, and explain the use of the tool in an understandable way when applicable.
Does complying with HIPAA mean complying with the regulation of any country?
No. HIPAA is a US framework. Each country can establish different rules regarding health data, medical records, telemedicine, consent, signature, and retention. Consult the medical AI context and clinical documentation by country and obtain advice applicable to your organization when necessary.

06 · TEST ITACA
How to test Itaca and choose the next step
Do I need to change the way I serve customers?
The main workflow seeks to accompany the usual consultation: you converse with the patient and Itaca works in the background. It is advisable to define when the session begins, how you inform the patient, who reviews the draft, and where the approved documentation is kept.
Can I use Itaca on computer and phone?
You can access the product from the web and learn about the Itaca clinical AI on your phone. Download the app for iPhone and iPad o Android. Available features may vary depending on the device and version.
How much does Itaca cost?
Itaca allows you to start with a free account and offers additional options depending on the level of use and the team's needs. Check the current plans and conditions on the page of prices.
What is the best first use to try it?
For an individual professional, a real, non-urgent consultation makes it possible to check how much documentation work it eliminates and how much needs to be corrected. Use patient data only after completing the privacy, consent, and policy verifications applicable to your practice.
What should a clinic evaluate before hiring?
It is advisable to choose a specific workflow, define who will use it, agree on the expected format, review privacy and permissions, check how documentation is incorporated, and establish a metric for adoption. Afterward, you can consider expanding it to more professionals, specialties, or locations.
